Spiro Plastic Surgey, LLC Spiro Plastic Surgey, LLC West Orange, NJ West Orange, NJ Full-time Full-time From $25 an hour From $25 an hour Plastic surgery practice seeking a responsible, outgoing, and highly-motivated Lead Front Desk Coordinator to perform a variety of administrative, coordinator, and clerical tasks.
Duties include providing excellent customer service to our patients, support to our physician, managers and employees, assisting in all daily office needs, and managing our company's general administrative activities.
Must be able to effectively delegate to other team members.
Reliability and flexibility with scheduling are a necessity for this position.
This position requires direct interaction with patients and teammates continuously throughout the day.

Other duties include, but are not limited to:
Answering the phone Greeting patients for their appointments and assisting them with check-out, processing financial transactions Assisting patients over the phone and by e-mail with inquiries (position requires heavy phone usage with excellent customer service skills) Scheduling appointments, organizing and maintaining physician schedules, preparing reports and maintaining appropriate filing systems.
Preparing and maintaining charts, including preparing for medical records release Follow all government enacted and office COVID-19 protocols Communicate and collaborate with other physician offices Initiate conversations with physician for collaboration and guidance on scheduling including resolution of scheduling conflicts Identify obstacles and attempt to troubleshoot and resolve for the office Document conversations with patients, physicians, and staff Competently use practice management system Utilize e-mail for communication in compliance with HIPAA standards Support the billing department by running eligibility and benefits for patients as well as helping to educate patients on their insurance benefits.
Communicating with teammates on evolving scheduling changes Educating and providing support to other coordinators Assisting management in scheduling other coordinators for appropriate staffing Preparing and maintaining medical records requests Marketing duties including obtaining and maintaining patient reviews and consents Other duties as assigned The ideal candidate should have outstanding oral and written communication skills and be able to organize their work using tools like MS Excel.
Fluent English and fluent Spanish speaking candidates preferred.
Previous experience as an executive administrative assistant, plastic surgery experience, or experience within the hospitality industry is strongly preferred.
Ultimately, a successful Lead Front Desk Coordinator should ensure the efficient and smooth day-to-day operation of our office.
Early morning and late evening office hours will be required.
Skills Required Proven experience as an administrative assistant, office admin.
assistant, and scheduling coordinator Medical terminology, plastic surgery experience strongly preferred Knowledge of office management systems and procedures Working knowledge of office equipment, like printers, fax machines, and scanners and able to troubleshoot as necessary Competency in MS Office (MS Excel and MS PowerPoint, in particular) Excellent time management skills and the ability to prioritize work Attention to detail and problem solving skills Excellent written and verbal communication skills Strong organizational skills with the ability to multi-task Abide by HIPAA and OSHA standards Able to sit 50-75% of work day Able to stand and walk 25%-50% of work day Ability to work flexible hours Punctuality, attendance, and reliability Minimum of Associate's Degree preferred Job Type:
